Paper/office organization
Justin helped me take a four double wide filing cabinet and reduce it into one drawer in my desk in one afternoon and in a patient and personable manner. He took the time to understand my working habits and project process and helped me determine whether something was important to keep or not. If it was necessary or worth keeping the question was then – “Where might it better be stored?” We set up a process of scanning into PDF’s my project notes for current projects and archiving older project notes. It did take some time to catch up but with smaller goals set up, the task was not overwhelming at all. Now that I am caught up, it is the last step after a project is complete and is part of the feeling of satisfaction when a project is complete. I scan the whole project folder and save those notes to the proper folder on the server and now the project is complete!

Now I am a pretty organized person(isn’t that we all say) and had a very good document folder system already set up for emails that needed saving – I just never had time to do it. It was a dreaded yearly task and starting with an inbox of over 7000 emails is pretty over whelming. Justin spent some time setting up a procedure and making sure some of the folders had the capacity needed, giving me a few tips in outlook to make it easier. Then we separated the old stuff in 2009 & 2010 folders and set the goal to clean up 2011 emails first. Starting with an inbox of 3000 was a bit better than 7000 and I set mini-goals for myself to get down to 2000 by next week etc. I now have an inbox of 174 items and I’m in the habit of saving what I know I want to keep directly to the project folders. Now it’s so much easier to refer back to it. I now just spend a few minutes weekly keeping it cleaned up. I will have to tackle the sent emails next and I am looking forward to being totally on top of it all!
I would have to say to those considering it – just say yes. It will be a bit of work and self examination but it is well worth it. You will be more focused and at ease knowing where everything is and you will work more efficiently. Let OCD help you out – they are patient and personable and never make you feel like you were doing it wrong – they just work with you to determine how to make a system that will work better for you, your work style, habits and personality. I felt like my solution was tailored to me.
